Ikons are just images of things. They aren't physical objects, just a sort of picture. Gestalts are just the mental place you store your in-use ikon images.
You should think of the extra as a buffer in case someone decides to pick up a couple soup/joules and then log out, rather than getting in a huff about having wasteful extras. It's a bonus.

I'm moderately sure trying to have logs (specifically offerings logs) prepend information caused a lag issue. Searching logs as Xenthos described is the way to go.
